Privacy Policy & Data Protection
Last updated: October 2026 · Effective for all cooperatives and members using ProntoCoop
1. Our Commitment to Cooperative Privacy
At ProntoCoop, we recognize that cooperative societies are built on communal trust. Member savings, loan histories, and financial ledgers represent sensitive personal and community assets. We are strictly committed to safeguarding this information in full compliance with the Nigeria Data Protection Act (NDPA) and NDPR guidelines.
2. Data Sovereignty & Local Hosting
All primary cooperative databases, ledger records, member registers, and audit trails are hosted in secure Tier III data center facilities within Nigeria. Member financial information is never transferred across international jurisdictions without regulatory authorization.
3. Information We Collect
- Cooperative Records: Society name, CAC registration number, bylaws, state registration details, and designated executive officers.
- Member Profiles: Name, phone number, email address, assigned cooperative NUBAN account number, and membership tier.
- Financial Transactions: Contribution ledgers, loan applications, approvals, repayments, dividend distributions, and bank reconciliation entries.
- Audit & Access Logs: Timestamped records of executive approvals, disbursements, and document exports to ensure AGM readiness and fraud prevention.
4. Banking & Financial Rails
Dedicated member NUBAN accounts and bank reconciliation workflows are executed through Central Bank of Nigeria (CBN)-licensed commercial banks and payment switch partners (NIBSS). ProntoCoop does not hold deposits directly; funds remain in designated custodian and settlement accounts operated by your cooperative's banking partners.
5. Data Ownership & Portability
Your cooperative retains 100% legal ownership of its member register and transaction data. You can export complete, unencrypted audit packs, member statements, and balance sheets at any time in standard formats (CSV, Excel, PDF).
6. Security Measures
We enforce 256-bit AES encryption at rest, TLS 1.3 in transit, role-based access control (RBAC), and mandatory two-factor authentication (2FA) for executive actions and loan disbursements.
